We are very excited to have you join us at Pawfest this year, as one of our Exhibitors! Please find below all the information you'll need to make this a fun, successful and safe event for everyone.

UPLOAD LEGAL DOCUMENTS

Please upload all Legal Documents by 30th September. Failure to provide the Legal Documents on time could result in us refusing your right to exhibit at the event. Legal Documents include;

  
- Public Liability Insurance Certificate: Exhibitors are responsible for the insurance of their own property and must have current Public Liability Insurance to the value of £2 Million at the time of the event. Exhibitors shall not hold Pawfest Ltd for any loss, damage, theft or destruction of exhibits, goods, property or equipment.
  
- Health & Safety Risk Assessment: All stalls must meet Health and Safety Standards in Line with the Health & Safety at Work Act 1974. Environmental Health, Trading Standard Officers and any other professional body may inspect the site and your stall during the event. Exhibitors who use powered appliances must supply the relevant safety certificates as well as fire extinguishers and adequate barriers around the powered equipment.
  
- Food Hygiene and Safety Certificate: Only required for Exhibitors selling human food and if applicable must include a Defra Register number.

Pawfest is located at Betteshanger Park, Sandwich Road, Deal, Kent CT14 0BF
The main entrance is off the main roundabout at Sholden, near to Deal on the A258 (Sandwich Road). The roundabout is located between Cottington Fishing Lakes and the Algar Farm Shop.
 

SET UP AND BREAKDOWN INSTRUCTIONS

Please ensure that your stand is covered at all times during the event open hours of 10:00am to 5:00pm. Stands must remain open during these hours and breakdown must not commence until after 5:00pm, unless a member of the Pawfest team has given you permission.
 

 

Friday 4th October

Exhibitor Set Up Day.

Gates will be locked from 10:00pm each night and will NOT be opened again until 7:00am the next day.

Exhibitor Access.

No Exhibitors' vehicles will be permitted on site after 09:00am. All stands must be fully set up by 10:00am.

Gates will be locked from 10:00pm each night and will NOT be opened again until 7:00am the next day.

Sunday 6th October

 

06:00pm to 08:00pm

 

 

Exhibitor Breakdown

No Exhibitor vehicles must move until given the go-ahead by the Event Organisers.

Gates will be locked from 10:00pm each night and will NOT be opened again until 7:00am the next day.

 

Monday 7th October

 

Access by approval only

 

 

If you require extra time to break down your stand, please contact us prior to the event for approval.

 

Exhibitors are allowed to position one car or small van behind their stands for the purposes of off-loading and storage during the event. All cars must be neatly parked behind their own stand space. Once in place, vehicles will not be allowed to move again until the show has closed. Any vehicle parked outside of their paid-for space and not in the car park will incur extra charges.

Any vehicles larger than a car or small van will not be allowed on the show ground during the event and must be parked in the car park for the duration of the event unless prior permission from the Pawfest Event Manager.

POWER & WIFI

Power

Power is available to Exhibitors via pre-order only, at £50 for the duration of the event. If you require power for your stand, please order by 30th September. 
  

WiFi

WiFi is included for all Exhibitors. This network is a private network for Exhibitors and event organisers only. We recommend connecting to the WiFi when you arrive to ensure there are no connection issues, as 4G will be limited when visitors arrive.

GENERAL INFORMATION

Please ensure you have read all the information below prior to the event. If you have any questions or concerns please email - 

 Accidents & Emergencies 

If you are involved in or witness an accident or near miss while on site, please report to a member of the Pawfest team immediately.
All emergencies must go through the Pawfest Team. This is to ensure that the emergency services can be directed quickly and efficiently on arrival.

Alcohol & Catering

The consumption of alcohol within Betteshanger Park during build-up and breakdown is not permitted. Only those stands who have had prior permission from the Event Manager may sell alcohol and refreshments during Pawfest. All Caterers are asked to provide the following information before they will be permitted to operate on-site - 
 
- HACCP Certificate (Hazard analysis and critical control points)
- Local Authority Food Hygiene Rating
- Food Hygiene Certificates
- Gas Safety Certificates (if applicable)
    Please upload these under Food Hygiene and Safety Certificates within the Legal Documents Tab.

    Camping 

    Exhibitors wishing to Camp will need to email Info@Paw-fest.com, to submit a request before 31st August.

    Shower and Toilets

    Showers and Toilet facilities are located by the bike hire and access will be available 24/7.

    Water Point

    The water point is located outside the visitor centre.

    Power

    Exhibitors wishing to camp will need to provide their own power. Any power purchased must be used for your Stand only and not camping. 

    Disabled Facilities

    Pawfest wants to ensure everyone has an enjoyable experience during the event. Disabled Parking has been designated as close to the entrance as possible.
    Please do consider that Pawfest is an outdoor event with grass fields and uneven surfaces, While we have made a great effort to provide facilities to accommodate for this, there will be some areas that might be hard to navigate.

    Fire Precaution & First Aid 

    Fire Extinguishers will be distributed around the event and may NOT be removed unless in the event of a fire. If you have activities that increase the fire risk, you must order additional extinguishers before the event or provide your own.

    First Aid is situated in the visitor centre. If you require assistance, please contact a member of the Pawfest team.

    Security

    Security will be on-site during the event and overnight. However, event spaces are vulnerable places and the Pawfest Team can accept no responsibility for any loss or damage that may occur to your property from any cause. Please follow these tips to help ensure your property is kept safe during the event - 

    - Ensure there are two representatives setting up and breaking down your stand so that the stand is never left unattended during these vulnerable times.

    - Book sufficient staff for your stand during the event to ensure that it is never left unattended. Do NOT ask a neighbouring stand to watch over your stand while you go for a break - they may become busy and not be able to keep an eye out.

    - Do not position desirable items at the front of the stand or out of your sight, to deter thefts.

    Report anything of a suspicious nature to the Pawfest team

    Weather

    Exhibitors should make extra provisions for any weather, as although we hope for sunshine we cannot guarantee this due to it being an outdoor event and the great British weather! We advise bringing provisions from wellies to suncream and covering all eventualities from hot and sunny to cold and rainy!

    KEEPING THE PARK GREEN

    Betteshanger Country Park consists of a variety of habitats including mixed plantation, woodland, scrub, grassland, meadows, lichen heath and open water. It is also home to a range of wildlife from mammals and birds to reptiles and insects.
    To help us maintain this beautiful country park, we ask that Exhibitors take responsibility for cleaning their own stand and removing any waste after the event.
     
    If you need waste removal, please arrange and notify us. Anyone who leaves waste onsite after they have left and have not notified us will be liable to charges.

    DOG WELFARE

    Our priority is the well-being of the Dogs and we want to ensure every visitor has a safe and enjoyable experience.

    We have provided plenty of areas for visitors and their Dogs to relax away from the action. Plus our onsite Vet and K9 first aid are on site, should a Dog need any medical attention.

    As an Exhibitor, you play an important role in helping us ensure the Dogs' Welfare during this event! Should an incident occur near your stand or you have any concerns regarding a Dogs welfare, please ask call for emergency assistance.
